Position Responsibilities:


  • Daily Communications: Draft and send timely, professional emails to residents, vendors, and board members to ensure smooth community operations.
  • Invoice Processing: Accurately code and process vendor invoices using our TOPS One system to ensure on-time payments.
  • Application Coordination: Review resident modification applications for completeness, coordinate board decisions, and maintain proper records.
  • Project & Calendar Support: Assist with scheduling, manage community manager task lists, and support annual mailers and special projects (budgets, meetings, RFPs).
  • Regulatory & Compliance Tasks: Prepare and file annual state and federal regulatory documents (e.g., SCC, DPOR), including tax filings.
  • Website & Document Management: Update community websites with news and notices, and maintain accurate, organized digital records and spreadsheets.
  • Meeting Coordination: Maintain Outlook calendars and distribute Zoom/electronic meeting information as needed.
  • Ad-hoc Administrative Support: Step in to support community managers with priority tasks and special assignments.

Schedule

Regular

Monday to Thursday 7:30 a.m. - 4:30 p.m./ Friday 7:30 a.m. - 2:30 p.m.

Daylight Savings

Monday to Thursday 6:30 a.m. - 3:30 p.m./ Friday 6:30 a.m. - 1:30 p.m.

*This position is remote, but you'll be required to visit our offices in CDMX or GDL on the first day (expenses are covered by yourself)*

Minimum requirements


  • 1-3 years of experience in similar role
  • High School diploma
  • Strong typing skills.
  • Exceptional communication skills in writing and speaking.
  • Advanced English skills
